Printing, promotional items, a stand, and event staffing — everything in this service group shares one trait: a hard deadline. That's why we produce promotional materials for companies in one place and on one schedule, because at an event there's no prize for "we almost made it."

Promotional Materials and Events
Everything on time, in one colour
Printing, promotional items, a trade fair stand and event support from a single provider — on one schedule built backward from your event date, with a buffer for revisions.
Three weeks to go before the event. Stand construction with one contractor, printing with another, promotional items with a third, design with a fourth. You call each of them separately, and each one tells you everything's fine on their end.
Then comes assembly day at the venue. The stand wall is a different shade than the roll-up, because each was printed from its own file, on its own machine, with its own color profile. The bags arrived, but with half the print missing, and the stand-building company has just written that they'll be running "a little behind." That evening, instead of finalizing meetings with clients, you're stuck on the phone trying to work out who's responsible for what — and you already know that tomorrow morning, no one will own up to anything.
The worst part of this story is that nobody failed "badly." Everyone delivered their part at ninety percent. But on the stand, those shortfalls add up — and the event only happens once.
One phone number, one schedule, one person responsible for making sure everything arrives on time and looks like a single, coherent whole. We build the schedule backward from the event date — from opening day back to today, with a buffer for revisions — so you know whether the timeline works before you even get a quote.
Design, printing, production, and on-site support are all handled under one roof. What exactly is included and how we bill for it is described below.
For us, design and production preparation are one skill, not two. We know that a file that looks good and a file that prints well are two different things — margins, bleed, color profile, and substrate choice are settled before printing, not after. We work in InDesign, Illustrator, and CorelDRAW — the same tools printers and plotting shops use — so the production file doesn't pass through any conversion along the way that "shifts" something.
A second point: all the materials for one event are built from a single set of source files. That's why the stand wall, roll-up, catalog, and bag are the same color — not just "similar."
And a third: we have our own photography and video people, so the event coverage is captured on site, not "from files sent in after the event."

What you get out of it
- Everything arrives before the deadline, not on itThe backward-built schedule has a built-in buffer for revisions and unexpected mishaps. The day before opening, you have your complete set of materials in hand — not a courier still on the way.
- You call one person, not twelveSubcontractor coordination is on us, and it's included in our price. Your phone is for arranging meetings with clients, not for investigating where the bags have gone.
- Materials look like one coherent setThey're produced by a single provider, from a single set of files, in a single color profile. Next to neighboring stands, that's visible to the naked eye.
- You get completion documentation for reportingAfter the event, you receive a report with photo documentation and a cost breakdown — ready to hand to your board or governing body without any rework.
Production quality is best judged in your hands, not on a screen. That's why we bring physical evidence to meetings: a swatch book of substrates, sample prints, and promotional items from our own projects — you'll see and touch exactly the quality you'll get in your own production run. We also show photo documentation of completed events and stands, along with the scope and timeline of each project.

You don't have to order everything at once — most clients start with one item: business cards, flyers, or a roll-up for the next trade fair. The value of a single provider becomes clear on the second order: your brand identity, source files, and agreements from the first project are already on file with us, so each additional item comes faster and cheaper, while everything still looks like one coherent set.
How a project runs — from first contact to final billing:
- Brief and backward schedule — you give us the deadline, and we map out the timeline backward from it, with a buffer for revisions. At this point, we already know whether the timeline works.
- Design — based on your existing brand identity, or developed from scratch if you don't have one yet.
- Proof approval — before the print run, you receive a digital proof and a physical substrate sample. You approve what will actually come off the machine, not a PDF on a screen.
- Production — printing, embossing, construction; milestones are confirmed in writing.
- Delivery or installation — to the address you specify, or directly at the venue, under the supervision of the project lead.
- Completion documentation — a report with photos and a cost breakdown.
Billing is predictable from the start. The cost estimate has a fixed value and separate line items for design and for production — you see exactly what you're paying for, and you can order just part of the scope. Production and printing are priced by run size and substrate; photo and video coverage is priced by day of on-site work — and you know the full amount before production starts, not after. Payment: a deposit for materials, final invoice on delivery. For recurring print jobs — business cards, flyers, letterhead — we work with standard formats, so the price depends almost entirely on the print run and paper: send us those two details and you'll get a firm quote without pricing the design from scratch.
Why one provider instead of four cheaper ones? Because the price difference is smaller than the cost of one day of your own work spent on coordination — and nowhere near the cost of showing up with half your materials missing on opening day. And over repeat editions, it turns into a direct saving: we update a catalog or trade fair set using existing files instead of designing from scratch, so the second and third editions cost noticeably less than the first.

Our guarantees
Each of these guarantees is a mechanism — a stage in the process or a clause in the contract — not a statement about quality. That's deliberate: statements cost nothing, mechanisms do.
Digital proof and physical sample before the print run. Nothing goes to print until you've approved the proof and the substrate sample. For hardcover books, a bookbinding mock-up is added.
Reprint at our cost if the error is ours. We guarantee the correctness of production files — bleed, margins, color profile, resolution. If the error is on our side, we cover the reprint.
Contractual penalty for delays caused by us. For hard deadlines, we write it into the contract. It's not a statement of goodwill — it's a clause you can hold us to.
One project lead, with a backup. Name and phone number in the contract, plus a designated backup contact. No generic inbox.
Milestones confirmed in writing. At every stage, you know what's finished and what's still in progress — not just "everything's fine on our end."
Availability of dates
Trade fair season hits everyone at the same time, so print shops' and build crews' production capacity runs out a few weeks before its peak. We don't know your date, so we won't try to scare you with a calendar — instead, within one business day we prepare a backward schedule showing the last safe start date, accurate to the week.
Tell us your event date
Call or write to us with your event date. Within one business day, you'll get a backward schedule — you'll know whether the timeline works before any quote and without any obligation.
What you lose by waiting
Either you order with time to spare and use the buffer to fine-tune your materials, or you order at the last minute — and that same buffer goes toward express turnaround, surcharges, and compromises on quality. The event happens either way. The only difference is what you show up with.
In short
One provider and one phone number · backward schedule from the event date, with a buffer · proof and physical sample before the print run · reprint at our cost if the error is ours · contractual penalty for delays caused by us · completion documentation for reporting.
Frequently asked questions
How far in advance do we need to order trade fair materials?
It depends on the scope — printing alone needs less time than a stand with full construction. So instead of a general rule, we prepare a backward schedule for your specific date: you give us the event date, and within one day we show you the latest possible start for each element.
There are three weeks left until the event. Can you make it?
We won't say "yes" over the phone, because it depends on the scope and on how booked the print shops are at that moment. We'll answer with a backward schedule within one day — if the timeline doesn't work, we'll say so directly and propose what can realistically be done in that time, instead of promising everything and delivering half.
A print shop would do it cheaper. Why do I need an agency?
Printing alone — maybe. But a print shop prints the file it's given; it's not responsible for the design, the bleed, the color profile, or whether the banner matches the catalog. With us, design and production preparation are one skill, and responsibility for the final result sits in one place — with a guarantee of a reprint at our cost if the error was ours.
Can I order just the design, or just the printing?
Yes. The cost estimate has separate line items for design and for production, so you can take the whole package or just one part. One honest heads-up though: for a split order, our correctness guarantee only covers the part that's on our side.
What happens if the print comes out with an error?
First, we do everything to prevent that from happening — hence the proof and the physical substrate sample before the print run. If an error still occurs and it's on our side, we cover the reprint. If the error was in material you supplied and approved on the proof, we discuss the fastest way to fix it — but that's exactly why proof approval is mandatory with us: so that conversation happens as rarely as possible.
Are you present at the event itself?
Yes — assembly takes place under the supervision of your project lead, and the photographer and video operator work on site all day. The event coverage is captured in the hall, not "from files sent in afterward."
How much do business cards or flyers cost?
For standard formats, the price depends almost entirely on the print run and paper. Send us those two details and you'll get a firm quote — no brief, no meeting, no pricing the design from scratch. Individual quotes only apply to non-standard substrates, finishes, and large projects.
